Tandem Works is a 30-person product consultancy in Barcelona. They design and validate digital products with client teams that often include several stakeholders with different opinions.

The challenge

Product decisions were spread across calls, chat threads and documents. When a stakeholder changed their mind weeks later, there was no clear record of what had been agreed, and Friday status meetings existed mostly to rebuild that record.

The team felt it most at the end of a project, when a decision made early on was questioned and nobody could say exactly when it had been agreed, or by whom.

What they changed

Tandem Works now shares every design for sign-off in a Ferrybox portal. Each approval is recorded with a name and a timestamp, and comments stay attached to the version they were made on.

Frames come straight from Figma, and portal status is embedded in the team's Notion project pages.

Every stakeholder on the client side is invited to the portal, but each design names one approver. Others can comment; one person decides. That simple rule did as much for speed as the tool itself.

It took one project to get used to.

The results

Design sign-off is twice as fast, decisions live in one place, and the Friday status meeting is gone.

When a stakeholder revisits an old decision, the team can show what was approved and when, and the conversation moves on quickly.

“Every decision has a timestamp and a name. When a stakeholder changes their mind, we can show them when they agreed.”
